Topcore Inc. (“we,” “us,” or “our”) operates the TOP (Team Operating Platform) service. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our platform at top.tools and our mobile applications.
1. Information We Collect
Account Information
When you create an account, we collect your name, email address, and password (stored as a salted hash). If you sign in with Google, we receive your name, email, and profile picture from Google's OAuth service.
Workspace Data
Data you create within workspaces—including conversations, tasks, files, contacts, tool configurations, and other content—is stored to provide the service. This data belongs to you and your workspace.
Usage Information
We use Umami, a privacy-focused, cookie-free analytics tool, to collect anonymous usage statistics such as page views and feature usage. No personally identifiable information is collected through analytics.
Payment Information
Payment processing is handled entirely by Stripe. We do not store credit card numbers or bank account details on our servers. We retain only the Stripe customer and subscription identifiers necessary to manage your account.
2. How We Use Your Information
- Provide, operate, and maintain the TOP platform
- Process transactions and manage subscriptions
- Send service-related communications (account verification, security alerts, billing notices)
- Provide AI-powered features within your workspaces
- Send SMS/text messages when you opt in (see Section 3)
- Improve and develop new features
- Detect and prevent fraud or abuse
3. SMS / Text Messaging
TOP offers optional SMS/text messaging features through messaging channels configured within workspaces. By enabling SMS messaging or providing your phone number for SMS-based features, you consent to receive text messages from TOP.
Opt-In
You opt in to receive SMS messages by explicitly enabling a messaging channel that uses SMS, or by providing your phone number and consenting to receive texts during account or workspace configuration. Consent is not a condition of purchase.
Message Types
Messages may include workspace notifications, task updates, AI assistant responses, automation alerts, and other service-related communications initiated by you or your workspace members.
Message Frequency
Message frequency varies based on your workspace activity and the messaging channels you have configured. You control which notifications are sent via SMS through your workspace settings.
Opt-Out
You can opt out of SMS messages at any time by replying STOP to any message. You may also disable SMS messaging channels from your workspace settings. After opting out, you will receive a single confirmation message. You will not receive further SMS messages unless you re-enable the feature.

Message and data rates may apply. Please contact your wireless carrier for details about your messaging plan.
Carriers
Carriers are not liable for delayed or undelivered messages.
4. AI Data Processing
TOP integrates AI models from third-party providers (Anthropic, OpenAI, Google) to power AI members within workspaces. When you interact with AI features:
- Conversation context is sent to the selected AI provider to generate responses. We use a dual-message privacy pattern that limits the data shared with AI providers to only what is necessary for the current interaction.
- AI providers process data according to their respective terms of service and privacy policies. Under our API agreements, your data is not used to train their models.
- AI-generated responses are stored within your workspace alongside human messages.
5. Third-Party Services
We use the following third-party services to operate TOP:
- Twilio — SMS/text messaging delivery
- Stripe — Payment processing and subscription management
- Google Cloud Storage — File storage
- Ably — Real-time messaging and presence
- Umami — Privacy-focused, cookie-free analytics
- Firebase Cloud Messaging / Apple Push Notification service — Push notifications for mobile and web
- AI Providers (Anthropic, OpenAI, Google) — AI model inference
Each service processes data in accordance with its own privacy policy. We share only the minimum data necessary for each service to function.
6. Data Storage and Security
Your data is stored in secured databases with encryption at rest and in transit. We implement industry-standard security measures including access controls, audit logging, and regular security reviews. However, no method of transmission over the Internet or electronic storage is 100% secure.
7. Data Retention
We retain your account data for as long as your account is active. Workspace data is retained for as long as the workspace exists. If you delete your account, we will delete your personal data within 30 days, except where retention is required by law. Audit logs are retained according to your subscription plan.
8. Your Rights
Depending on your jurisdiction, you may have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your data
- Export your data in a portable format
- Object to or restrict certain processing

9. Children's Privacy
TOP is not intended for use by anyone under the age of 16. We do not knowingly collect personal information from children under 16.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page and updating the effective date. Your continued use of TOP after changes are posted constitutes acceptance of the revised policy.
